SFT is seeking a dedicated and organized Office Manager to join our team in New York City. The ideal candidate will be a highly motivated team player with a positive attitude, strong time management skills, and the ability to manage multiple projects. This role involves fulfilling various administrative duties, managing financial records under the supervision of the Operations Manager, overseeing merchandise inventory, and ensuring the smooth operation of the office. ROLE RESPONSIBILITIES

  • Fulfill administrative duties, including: filing, hard-copy and electronic record retention, copying, composing routine correspondence, and handling mail.
  • Record day-to-day financial transactions, pay bills, handle invoices/receipts, and work with the Operations Director and an accounting firm to maintain accurate monthly/annual financial records and statements.
  • Plan, implement, and maintain office systems to help fit the needs of a fast-paced and busy grassroots organization.
  • Oversee SFT’s merchandise inventory, order sheet, sales, and shipping through Shopify.
  • Coordinating domestic and international travel logistics, including flight, hotel, and car rental reservations for SFT’s programs and campaigns.
  • Maintain office space; ensure that the office space is clean and organized, and order and maintain office and cleaning supplies.
  • Ensure all office equipment is functional and stored appropriately. 
  • Maintain a general inventory of SFT’s gear and equipment.
  • Answer SFT’s office phone and refer calls to appropriate staff.
  • Assist the Development team with donor correspondence and follow-up.
  • Perform emergency response duties as necessary.
  • Perform related work as assigned by SFT’s Operations Director and Executive Director. 

Preferred: Prior administrative work experience, prior experience with Shopify, familiarity with Google Workspace (Drive, Docs, Sheets, etc), and basic proficiency in the Tibetan language is a plus. Candidates with any level of basic experience with accounting will be given preference.

EDUCATION

  • Bachelor’s Degree or equivalent experience preferred; rising Juniors or Seniors pursuing a Bachelor’s Degree at New York City institutions are also encouraged to apply!

  • Follow-through: Stay on top of all specific tasks/follow-up items and general areas of work; consistently meet deadlines.
  • Attention to detail: All external communication is polished, accurate (right content, no misspellings, grammatical errors, etc.) and precise (reflects nuances, captures subtleties, etc.) and “fits” the situation.
  • Team player: As the Development Coordinator, your role is vital to the sustainability of our team; each of us are individually integral to the team’s total effectiveness.
